Organising a Roadshow Presentation

Venue - The main concern is size; the venue room needs to be large enough. Turnouts have been good thus far because as you know climate change is a hot issue and lots of people are wondering how to become involved in an effective way. In some cases, people are being turned because of lack of seating and standing room, (In Coffs Harbour, the Jetty Theatre's 270 seats were all filled while others were turned away).

If there is a cost to the room, it will be paid back from donations at the door. Preferably we don't waste too much funds on the venue and we ask the people/group we hire the venue from whether they can give us a special rate for non-profit, important issue etc.

Sponsorship - In many instances, City Council is sponsoring the event by paying for the venue hire and helping to network the events as well.

Equipment - We need to be able to play a dvd at the event. If we are travelling by car to the event, we can bring our own data projector, amp, mike and screen. Otherwise, these will need to be arranged.

Media - We do media and the organisers do as well. We will need a list of media contacts: radio, television and newspaper. We could use assistance to set up radio interviews but we will be available for these at just about any time. Media kit including sample media releases is at http://www.climate.net.au/media.htm.

Costs - Entry is by donation with costs taken out first and then any remaining funds split between the local climate action group and the climate roadshow.

Flyers - Templates are ready to be modified with your details at http://www.climate.net.au/flyers/. We suggest you save the final flyer as pdf for printing. A lower resolution pdf file is good for emailing around with an e-bulletin.

Networking the Event - Organisers will post flyers around town and in some cases leaflet postboxes in certain key areas. We send out an email to our e-network as do the organisers.
